A day with AI4Padel at your club

The real demo takes 15 minutes and runs on your data. This is the written version: an ordinary day, hour by hour, with the real screens right where they show up. The screenshots come from “Pádel Levante”, our demo club, on a Wednesday in September: fictional data, real behaviour. The product runs in Spanish today, which is why the screens do too.

3:07am. A player writes to the club in the middle of the night

“Hey! anything tomorrow at 12? we’re two”. He writes it to the club’s WhatsApp at three in the morning, because that’s when he remembered. Nobody at the club is awake, and AI4Padel doesn’t answer either: your players’ messages land in the club’s WhatsApp, as always, and never go through the platform.

Worth saying up front, because it is the rule for the whole day: AI4Padel doesn’t talk to your players. It tells you who to write to and leaves the message written; you send the WhatsApp yourself, from the club’s phone, and you note down what they answer. You decide what gets sent.

9:00am. The week at a glance

You open Inicio, the home screen, with your coffee. The whole week on one screen: every day with its matches by court, the short ones in orange at “2/4”, the settled ones at “4/4”, and the «Por hacer» filter to keep only what needs you. Before replying to anyone, you already know where the work is.

You answer the 3:07 message from the club’s WhatsApp: there’s a free court tomorrow at 12. If he wants, you’ll set up the match.

10:00am. Opening the 1:30pm one

Court 2 at 1:30pm is free and there are strong players asking about that hour. You press «Nueva partida» (new match): day, time, level and court. The next step is the message.

For every moment of the match you choose one of the club’s templates: the invitation, the confirmation, what they’re told if the seat is already covered and what if the match is cancelled. On the right, the message as the player will read it on their phone. The words are your club’s and they’re changed in Settings, where each club writes its own. You press «Crear la partida» (create the match) and it’s on the grid, being put together.

1:00pm. The day, hour by hour

After lunch you switch to the day view. Today’s grid, court by court: full ones in blue, short ones in orange. The 3:30pm match on Court 1 reads «Falta 1», one short. If it falls through, that’s 24 euros of court that never come back (average price of 90 minutes in Spain, Global Padel Report 2025). This used to be half an hour of manual chats.

1:06pm. One question for the Asistente

The assistant answers from the club’s data and leaves every match one click away. What gets sent is your call.

Before getting on with it, you ask the Asistente, the manager’s internal chat: which matches are still short this week, and who do I call for today’s 3:30pm? It answers from your schedule: 29 to complete this week, 7 today, and for the 3:30pm one it would start with Rosa Núñez and Clara Crespo. Below, every match with its link. If you ask it to prepare the messages, they wait for your approval. The assistant talks to you; to your players, never.

1:10pm. The 3:30pm match: who fits and why

You open the match. On the left, the court drawn with its four seats: three confirmed, average 2.08, «Lados parejos» (even sides), and one free right-side seat. On the right, «Los que encajan», the players who fit, and next to each name, «Por qué encaja», why they fit: «Nivel 2.25, compatible con la partida (1.50 – 2.75)», level 2.25, compatible with this match. If someone already plays that day, it says that too: «ya juega ese día a las 14:00», already playing at 2pm that day. It’s a warning, not a veto: you decide. No hidden scores: fixed rules, and the same data always produces the same names. How they get picked has its own article.

Each row has two buttons: «Invitar» (invite), which moves them to the invitations list, or «Añadir» (add), which seats them straight away because they already said yes at the desk.

1:12pm. Send the invitation, from the club’s WhatsApp

You invite Clara Crespo, Daniela Castro and Rosa Núñez. Each one gets a green «Enviar invitación» button: you press it and the club’s WhatsApp opens with the message already written, “Hola Rosa, soy Óscar, de Pádel Levante. Se ha quedado una plaza hoy a las 15:30…”. You read it, send it and come back. The block keeps count, «1 de 3 enviados», one of three sent, so you see who you still have to write to.

Three messages, one per person, written for her. Nobody in the eighty-strong group even noticed.

2:00pm. They reply, and you note it down

Rosa replies “count me in!” to the club’s WhatsApp. In the match you press «Sí» next to her name and she’s seated. Clara can’t make it: «No puede». If someone answers something odd, «Otra» (other), and you move on.

With Rosa in, that’s four. The match is full, but not closed: full is not closed. Nothing closes on its own; when you decide, you press «Cerrar y pedir confirmación» (close and ask for confirmation) and the confirmation message for all four comes up, which you send the same way, one by one, from the club’s WhatsApp.

Daniela replies at 2:20pm that yes, she’s in. There’s no seat left: among the match’s «Acciones» there’s “the match is already full”, with your template, to tell her nicely.

4:00pm. The ones going cold

The 5pm match on Court 3 has two free seats. In «Los que encajan», among the regular players, there’s Borja, «Sin partida desde hace 21 días», no match in 21 days, and Víctor, no match in 25. Nobody tells you that: you find out when they’re already playing at the club next door. Inviting them fills today’s gap and keeps them from drifting away. A weekly player is worth around 300 euros a year (1 match a week × ~6 euros per player): don’t let a single one slip away without at least trying.

4:40pm. Somebody bails

“Guys, can’t make it after all.” You read it in the club’s WhatsApp. In the match you press «Quitar» (remove) and the seat is free. Removing someone records the fact and tells nobody anything: what gets said is your choice. Among the match’s «Acciones» there’s “let them know someone dropped out” for the ones still in, and in the list of players who fit, who to invite to cover the seat.

5:30pm. A player card that says more than it states

Adrián is one of the three in the 3:30pm match. You open his card to see what else you could offer him. Level 2.25, weekdays from 12:00 to 15:00. But the Analítica tab tells another story: 136 matches, 30 a month, and under «Lo que hemos observado» (what we’ve noticed), «Juega sobre todo por tardes (90% de sus partidas)», mostly plays in the afternoon. Below, who he actually plays with. What the player declared one day and what he does, side by side. From the same card, «Buscar partida para Adrián», find a match for Adrián.

7:30pm. The match gets played

Four players at an even level, invited one by one, confirmed and, if you chose, reminded: another of the «Acciones», which you also send yourself.

What did not happen all day

  • No player received a message you didn’t send, from the club’s WhatsApp.
  • No message went out without you seeing it first, and every one came from one of your templates.
  • AI4Padel didn’t read or answer a single player: what they replied, you noted down.
  • No match closed on its own: full is not closed, and closing was your decision.
